A better way to track renewals and expiry dates

The useful reminder is the one that reaches the right person with enough time to act—without notifying the whole whānau by default.

Record the source date first

Keep the expiry or due date on the confirmed record. Then decide whether it needs an action reminder, how early it should arrive, and whether it repeats.

Separate personal and family responsibility

A reminder belongs to its creator unless they deliberately assign or share it. Household bills and subscriptions can become family tasks, but only after that shared responsibility is explicit.

Make acknowledgement visible

For shared work, show who has acknowledged the reminder and who marked it complete. That reduces duplicate effort and makes the current state easy to understand.

Use repetition carefully

Monthly or yearly schedules suit known recurring items. Do not infer repetition from one email alone; confirm the cadence and next due date before enabling it.
